Credit Control Notepad

This helps to enhance your existing credit control processes. In particular, it shows another way to look at customers from an aged debt point of view. It also provides a dashboard. The credit controller can have a specialised role centre view with the required tasks, status, and analysis all on the welcome screen.

There is a level of credit control within standard Business Central, such as the age debt report. But the ability to put in notes and assign tasks against specific invoices or customers is missing. And this means that you may not know exactly which of your team is: chasing which client, about what, and the action that should be taken and whose responsibility is, and any agreed actions to be taken by the client. This tool makes this process much simpler.

Inter-Company Sync

Where an organisation has multiple companies in Business Central, ensuring data integrity between companies is time consuming and error prone. This add on automatically copies and synchronises data from one company into another company, or even multiple companies. This removes the need to manually re-enter copy data or spend time ensuring you’re working off the same data.

Benefits to our clients

It is highly configurable. This add on can synchronise the full table of data, or only the fields you require and even manage field conversions where setup might be different between companies – such as VAT Posting Groups. Any data table in Business Central can be synchronised. For example, your Chart of Accounts, Items, Customers or any other suitable table. Data is automatically copied over if created or changed so you only need to maintain data in once place. You therefore have confidence that your data will always be consistent and correct. If for some reason the synchronisation can’t happen, the error is captured and logged to help resolve the issue.

BACS Files Export

This tool allows the use of a payment file to be used in GBP, SEPA (European) or International to several GB banks. For example HSBC, NatWest, RBS (Bankline) and Barclays. For HSBC it can handle GBP and SEPA European payments. If you use any other bank please get in touch and we can discuss alternatives and/or development work to create a new BACs file format for you. If there are multiple payments that need to be made, it is far quicker using this BACS file import than doing the process manually.

Benefits to our clients

It is a simple and faster way of creating a payment file, saving the finance team a considerable amount of time in processing the payment within their bank portal. It is much faster to create this file which can be sent to the finance team than doing it manually. For example the purchase ledger journal generates the payments required. This information is then used to make the multiple payments to (multiple or single) banks as required. This is suitable for organisations that make many payments. However when it is only a handful of payments to a single bank, the manual process may end up being more straightforward.

Currency on GL Entries

This tool helps clients by adding additional information regarding the source currency, source amount and source currency factor of the transaction used in a journal. This is an alternative way of holding currencies outside of setting currency rates in the system. In BC only the amount in base currency is held on the general ledger entries; this add-on will display additional information to allow reporting and reconciliation for journals posted in multi-currency.

Benefits to our clients

This is mainly used by clients who have non-UK subsidiaries. This applies to journals only, e.g. petty cash accounts. Management can see this information, plus it is possible to report on it too. It is useful as an alternative means to viewing certain currency transactions.

Divisional Dimension

Often companies need to be managed across divisions or branches. While standard dimensions in Business Central support this, often you want to ensure that each division can have its own finance entries which will always balance; thus allowing you to create a full suite of financial accounts by the division in question. Doing this manually can be labour intensive and lead to errors. The Divisional Dimension add-on allows you to set one of your global dimensions to automatically balance when posting. As a result, you can run multiple legal entities through a single Business Central company (as long as statutory and licensing requirements are met) streamlining users interactions with the system.

Excel Import to GL

This is our most popular add-on. It allows finance users to create journal entries in Business Central from Excel. They can use different headings, and there isn’t just one template. This automates processes which are daily/weekly/monthly repetitive actions. It could also be used as part of the data migration process to bring in opening balances for new clients so is usually discussed during the sales process with prospects.

Benefits to our clients

This is a serious time saver. For approximately 200 transactions the import would take minutes, whereas an experienced user would for example take up to half an hour to do the same task manually. Automating this process can eliminate duplicate entries and mistakes and hence saves time. A BC licence is not required, so this can even be prepared by an external accountant and then sent to the finance team for the import to be actioned.

GL Reconciliation

This can be helpful if the finance team are required have a reconciliation process for the General Ledger you are in a finance team and post to the GL account as a finance control as part of your end of month procedure. It relates to the movements of postings payments in and out of selected GL Accounts as required once they have been reconciled. This is standard in Business Central, but anyone still using NAV may find this add on useful.

Benefits to our clients

Without this add-on, this process would be carried out offline in an Excel document. Once completed you would save the document in a Finance shared folder. Embedding this process in Business Central removes the reliance on keeping Excel files and mistakenly over-writing, or not viewing the latest version which may have been saved to a local machine. With this add-on there are dedicated Worksheets that enables users to carry out the reconciliation inside Business Central. From an auditing perspective, this helps you see where each GL Reconciliation posted is recorded for auditing reasons. Reversing a Reconciliation is possible, and this reversal would be recorded for auditing purposes.

Reports/Document Layouts

Whilst many reports and customer facing document templates come as standard, we have developed and customised a number of reports. The supplied reports provided by Microsoft have a very basic and an American feel to the layouts, which are not always suitable for UK organisations. Our document template report packs include everything a customer may need, and we can develop others on request. For example:

As these layouts can be branded, they will conform to any corporate templates that are used by an organisation, adhering to internal branding standards. TVision set up these reports for testing by clients during implementation. On go-live you will have the peace of mind that documents you are sending will have the same and look and feel as others created internally in other departments across your business. There is even the capability to do minor changes since they are built in word.

Table Dimensions

This is a feature that will automatically create a Dimension Value for key records in the system and then associate them together. These include Jobs, Customers, Vendors, Items, Resources, etc. You can automatically create a setup task, which means there is less reliance on a specific team to have to do this. It is particularly useful for jobs/resourcing and distribution organisations. For example, “Resources” get used in professional services, and in Distribution companies as “items”. Any table can be selected that has the concept of Default Dimensions.

Benefits to our clients

This is useful if there are internal reports which report on these specific dimensions. We have found it to be particularly beneficial to have a conversation about this with new clients. In particular during the implementation phase to understand internal reporting requirements. NB: This is a default in Bevica.

Communications Engine

Do you need to import files into your Business Central system from an external software system or data source (for example, a POS or 3PL system)? Or, alternatively, export files from Business Central to another system? Is this a legacy system with no native API connector to Business Central? Or would the API connector development costs be prohibitively expensive? If so, TVision have created an add-on, called Communications Engine, which allows you easily exchange files between this legacy software system and Business Central via Azure Blob Storage.

Features

  1. Automated file exchange: Using this add-on will allow you to import files from, or export to, an external data source (such as an FTP site or an email attachment).
  2. Data handling: TVision will create a container for you within Azure Blob Storage for you to import your files into.
  3. Data monitoring and error fixing: The specially created job queue will allow you to schedule data imports, monitor progress and fix any errors that may arise during the import/export.

Benefits

  1. Automating the process of file exchange will save you time and money while improving business efficiency.
  2. No need for prohibitively expensive development costs to create an API connector between your legacy software system and Business Central. The Communications Engine, in conjunction with a specially created container within Azure Blob Storage, will effectively create for you an indirect API connector between the two systems.
  3. The Job Queue within Business Central will allow you to monitor progress and fix any importing or exporting errors.
