TVision’s top 10 pointers

Implementing an integrated business solution like Microsoft® Dynamics™ NAV (formally Navision Attain) has the potential to deliver huge benefits

  • Streamlining of processes
  • Savings in staff costs
  • Savings in time
  • An overall increase in competitive edge

Whilst Microsoft Dynamics NAV can, and does, deliver these and many other benefits, the success of a project is much more than simply choosing the right solution, vital though that is.  How the implementation is planned, structured and carried out is just as important.

With many years experience in successful software implementation, TVision has identified 10 key points to a successful implementation.

No. 1    When Microsoft Dynamics NAV projects go wrong…

Doing it right is rewarding.  When a project fails, it can be devastating for the company involved. Two recent clients who have joined TVision following failed implementations are testimony to the fact that it is rare for the software to be the  problem. It is much more often the change in business processes that accompany the new solution that is the cause. Clear and detailed analysis of the business requirements, and an understanding of the business issues and challenges, are key factors in the successful outcome of any Microsoft Dynamics NAV project.

No. 2    Understand ‘Why’ the implementation is required

Clearly analysing the business requirements behind the project ensures the key deliverables and objectives of the project are defined.  This makes all concerned focus on the project goals and results in the better integration of TVision’s software engineers and the client’s project leaders into a cohesive and effective project team.

No. 3    Ensure there is a strong Sponsor

Projects with a clear client Sponsor who attends all key meetings and partakes in the decision-making process at all stages of the implementation, are far more likely to be successful.  Ideally, the Sponsor continues to oversee the project well after the initial implementation is completed so it continues to grow and develop with the business.

In addition to a strong Sponsor, crystal clear roles and responsibilities for all members of the project team will dramatically increase the likelihood of a successful outcome of a project.

No. 4    Careful GAP analysis is a must have

Identifying functional (and non-functional) gaps between existing and planned systems and processes is the starting point for every successful implementation.  Not only is it vital in its own right, it also gives project team members time to get to know each other, understand the software and identify the challenges to the project. Gap analysis needs to be reviewed and approved by the Sponsor and stakeholders in the business.

No. 5    Implementing Standard Microsoft Dynamics NAV

One of the greatest benefits of Microsoft Dynamics NAV is the way in which the standard, off-the-shelf package can be enhanced by the Channel Partner team to meet each client’s specific needs and goals.  The core product is sometimes all that is required initially but Microsoft Dynamics NAV’s versatility means that once a core set of modules are in place, further features can be added as the business grows and the demand for increased functionality develops. Here again, detailed analysis can help the client schedule the implementation of enhanced functionality in small, easily managed waves across the organization once the core implementation has been completed.

No. 6    What is a successful Microsoft Dynamics NAV project?

Success often means change. The new functionality must enable new processes or improve and change existing ones. Though business processes are key to a successful implementation, an implementation will only hit its goals if the people who are affected by it are totally committed to its success.   The project team must see beyond the technology and keep all stakeholders involved and interested throughout the implementation.

No. 7    Become Experts

Implementations of Microsoft Dynamics NAV are most successful when the client appoints a enthusiastic Sponsor and new systems Champion (or team).   The Sponsor or Champion can provide stability to a newly introduced system as well as providing instant problem resolution in many cases. Post implementation co-ordination and progress is tracked and issues with 3rd parties are resolved quickly and systematically before they escalate.

No. 8    Delivering Business Intelligence with Dynamics NAV

As well as bringing time, cost and staff savings, Microsoft Dynamics NAV greatly improves the reporting and analysing of business intelligence data.  Key to this activity is implementing the right tools to get the job done (eg. SQL Reporting Services, Jet Reports etc.) and then building up the in-house skills to use them. Whilst TVision can provide these services, the best results are seen by those clients who take guidance and build the capability for themselves.

No. 9    Actively manage risks

Knowing where the challenges lie for any type of implementation is key to a successful project. Risks should be clearly identified and an escalation plan agreed.  Implementations with SMEs who are installing an integrated business solution for the first time and who have little legacy data generally  present lower risks overall.  However, other risk factors such as staff availability, adequate testing and clear milestones tend to rise.

No. 10    Be realistic

Implementing Microsoft Dynamics NAV offers benefits to SMEs operating in any market sector and when coupled with a well thought-out implementation methodology with clear roles, requirements, milestones and goals, these benefits will be realised and the results seen in improved profitability.

Throughout a Microsoft Dynamics NAV Project, TVision places an emphasis on the organisational component of the implementation process and on the cohesion between the technical process and the people who will be affected by the implementation.

In our opinion, by involving the organisation properly during the change process, any company can benefit much more and much faster from Microsoft Dynamics NAV.
